Loan Settlement Letter Format: How to Request a Settlement from a Loan App, NBFC or Bank (Free Template)

Updated: 4 days ago
If you have fallen behind on a payday loan, an instant loan app or a personal loan, there often comes a point where paying the full outstanding is simply impossible. Interest, late fees and penalties have piled up, and the amount being demanded is far higher than what you borrowed.
That is when many borrowers consider asking the lender for a one-time settlement. The first step is usually a well-written settlement request letter or email. A good letter explains your situation honestly, makes a realistic offer, and starts a written record that protects you. A poorly written one can weaken your position or even be used against you.
This guide explains when to send a settlement request, what to include, a free template you can adapt, and what must be in the lender's reply before you pay a single rupee.

When should you send a settlement request letter?
A settlement request makes sense when:
The loan has been overdue for some time and full repayment is not realistic
Your income has fallen because of job loss, illness, a business slowdown or a family emergency
The outstanding has grown far beyond the amount you actually received
You can arrange a lump sum, or a short series of payments, once terms are agreed
If you are only a few days late and expect your income to recover soon, a request for a short extension or revised repayment schedule may be better than settlement, because settlement affects your credit report.
Who should you send it to?
Send your letter to the lender, not just the recovery agent calling you. For a loan app, that usually means the bank or NBFC named in your loan agreement or Key Fact Statement. Look for:
The grievance redressal officer's email shown in the app or on the lender's website
The lender's official customer care email
The collections or settlement email ID shared in official communication
Always use email, so you have a dated record. If you also speak on the phone, follow up with an email summarising the call.
What to include in a loan settlement request letter
A strong settlement request includes:
Your details: full name, registered mobile number, email and loan account number or loan ID
Loan details: date of the loan, amount borrowed, amount actually credited, amount paid so far and the outstanding claimed
Your hardship: a short, honest explanation of why you cannot repay in full, with supporting documents where possible
Your offer: the amount you can pay and how quickly you can pay it
Your conditions: that the settlement must be confirmed in writing, in full and final settlement, with no further dues and a closure or No Dues letter after payment
A request on harassment: if applicable, ask that all communication be in writing and that recovery agents stop contacting your family or workplace
Keep the tone polite, factual and brief. Avoid emotional pleas, threats or admissions you are unsure about.

Subject: Request for One-Time Settlement - Loan Account No. [Loan ID] To, The Grievance Redressal Officer / Collections Team, [Name of Bank or NBFC] Dear Sir or Madam, I am writing regarding my loan account no. [Loan ID], availed on [date] through [app name] for Rs [amount sanctioned], of which Rs [amount credited] was credited to my account. I have repaid Rs [amount paid] so far. Due to [brief reason, for example loss of employment on (date) / medical emergency / reduced income], I am currently unable to repay the full outstanding of Rs [amount demanded]. I have attached [supporting documents]. I would like to resolve this account honestly. I request you to consider a one-time settlement of Rs [your offer], which I can pay [in one payment by (date) / in (number) instalments by (date)]. Kindly confirm the settlement terms in writing on your official letterhead or email, stating that the amount is accepted in full and final settlement and that a closure letter or No Dues Certificate will be issued after payment. I also request that all communication regarding this account be made with me in writing, and that my family members, contacts and employer are not contacted. Thank you. Yours sincerely, [Full name], [Registered mobile number], [Email]
How much should you offer?
There is no fixed percentage. Lenders consider how long the account has been overdue, your payment history, your hardship and how quickly you can pay. Start with an amount you can genuinely arrange, while leaving room to negotiate. Never offer more than you can pay on the date you promise, because a failed settlement payment weakens your position.
It helps to separate the amount you actually received from the interest, penalties and fees added later. If the amount credited was much lower than the loan shown, or charges were never disclosed in a Key Fact Statement, mention that clearly.

What the lender's settlement letter must contain
Do not pay until you receive a written settlement confirmation from the lender. It should state:
Your name and loan account number
The total outstanding and the agreed settlement amount
The payment deadline and, if allowed, the instalment schedule
That the amount is accepted in full and final settlement
The official bank account or payment link to use
That a closure letter or No Dues Certificate will be issued after payment
A message on WhatsApp from a recovery agent is not a settlement letter. Insist on official communication from the lender.
Mistakes to avoid
Paying before you have it in writing. Verbal promises are easily denied later.
Paying to personal UPI IDs. Pay only through the lender's official channels and keep every receipt.
Making partial "good faith" payments before terms are agreed, which can reset negotiations.
Borrowing from another app to fund the settlement.
Ignoring the closure step. Always collect the No Dues letter and check your credit report afterwards.
What happens after you send the letter?
Some lenders reply with a counter-offer, others ask for documents, and some take time to respond. Follow up politely after a week. If a regulated lender does not respond within 30 days, or recovery agents continue to harass you, you can escalate. See our guide on how to complain against a loan app in India.
Remember that a settled account usually appears as "Settled" on your credit report. Read more in our guide to loan app CIBIL score after default and settlement.

Documents to attach to your settlement request
Supporting documents make your hardship credible and speed up the lender's decision. Depending on your situation, attach:
A termination or relieving letter if you lost your job
Recent salary slips or bank statements showing reduced income
Hospital bills or medical records for a medical emergency
Business records if your business income has fallen
A list of all your loans and EMIs, showing your total debt burden
Share only what is necessary. Do not send original documents; copies or scans are enough.
Settlement request vs restructuring request
Not every borrower needs a settlement. If your income is likely to recover soon, a restructuring request may serve you better. Instead of offering a reduced lump sum, you ask the lender to reduce the EMI, extend the tenure or give a short moratorium. Restructuring usually has a smaller impact on your credit report than settlement, because you still repay the full amount over time.
Settlement suits borrowers who cannot realistically repay in full, have been overdue for months and can arrange a lump sum. If you are unsure which to ask for, get advice before writing, because your first letter shapes the negotiation.
How to follow up after sending your letter
Wait about a week, then send a short, polite reminder on the same email thread. If a recovery agent calls instead of an official reply, ask them to confirm everything on email from the lender's official ID. Keep a simple log of every response so you can show a clear history if you need to escalate.
Frequently asked questions
Can I send a settlement request by email?
Yes. Email is the best option because it creates a dated record. Send it to the lender's grievance or collections email, not only to a recovery agent.
Will the lender always accept my settlement offer?
No. Lenders may reject, counter or ask for more information. A realistic offer backed by genuine hardship has a better chance.
Should I mention that I am being harassed?
Yes, briefly and factually. Ask that communication be in writing and that your contacts and employer not be approached.
Does settlement close the loan completely?
Once paid as agreed, the account should be closed with no further dues. Always collect the closure or No Dues letter.
